Job Description

The Administrative Assistant performs a variety of administrative and clerical tasks in support of the day-to-day operations of the Office of the Director, Administrative Office to include serving as an alternate to support all political appointees.


  1. Performs a variety of general administrative tasks, such as preparing reports and correspondence, coordinating travel and meeting arrangements, answering phones, logistics, training agendas, training matrix, filing, and sorting and distributing mail, maintaining internal phone rosters, assisting team with special projects in support of the day-to-day operations of the admin office.
  2. Compiles and analyzes various, program data using various database programs, and prepares monthly status reports based on the results.
  3. Prepare briefing and training materials for the admin office.
  4. Processes travel and expense reports.
  5. Alternate escort for all foreign and domestic visitors.
  6. Maintain admin calendar and schedule
  7. May provide work leadership to less experienced clerical and administrative personnel.
  8. Participates in special projects as required.
  9. Serves as alternate to Executive Assistant to the Director.


Associates Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.


3-5 years of related administrative experience.

Intermediate user of MS Office tools (Word, Excel, PowerPoint)

Able to work with others and independently

Strong Organizational Skills

Excellent written and oral skills

Ability to interpret written and technical materials

Excellent customer service skills

Knowledge of SharePoint

Willingness to learn Foreign National System

Willingness to learn Concur

Detail oriented
